Internship

General Information:

To graduate, students of the Department of Civil Engineering are required to complete a total of 60 working days of compulsory internship. The internships are:

  • Completed as 3 separate internships (Office-Construction Site, Structural, and Transportation/Hydraulics), each lasting 20 working days.
  • They may be carried out at construction sites, design offices, or workplaces operating in relevant engineering fields.
  • As a general rule, they must be completed during the summer periods specified in the academic calendar.

Internships are compulsory so that students can reinforce their theoretical knowledge through practice and gain professional experience.

 

Internship Application Schedule:

  • Students whose application documents are complete may submit their internship applications in person to the Department Internship Committee only on Mondays between 11:00 and 15:00. Applications will not be accepted outside the specified day and hours.
  • Internship applications must be submitted at least 1 (one) week before the internship start date. International students must apply through the e-Government Portal to the "Work Permit Exemption Application System for Foreigners" and obtain an e-Exemption document before they can undertake an internship. Taking this process into account, international students must complete their internship applications at least 3 (three) weeks before the internship start date.
  • For internships to be carried out during the Summer Period of the 2025-2026 Academic Year, the internship start date is Monday, June 29, 2026.

 

 

When Can I Do My Internship?

  • According to the internship directive, students are expected to complete their internships during the summer vacation.
  • Students taking graduation examinations at the end of the spring semester cannot undertake an internship on their examination day.
  • Students enrolled in summer school cannot undertake an internship during the summer school period or on final examination dates. Students who do not have a make-up examination may continue their internships on the dates designated for make-up examinations.
  • Internships CANNOT BE CARRIED OUT on official holidays.
  • Students CANNOT split their summer internship into separate periods.
  • Students who have completed all their courses and have only the internship requirement remaining, as well as students who have classes on only one day per week during the semester, may undertake an internship during the semester subject to the approval of the Department Internship Committee.
  • Even if students are not required to take resit examinations at the end of the spring semester, they cannot undertake an internship during the resit examination period announced in the academic calendar.

 

 Where Can I Do My Internship?

  • Students interning at public institutions (Provincial Directorates of Environment and Urbanization, State Hydraulic Works (DSİ), General Directorate of Highways, municipalities, etc.) may intern for a maximum of 5 days per week and cannot undertake internships on Saturdays or Sundays.
  • Students interning at private companies may, by submitting a letter from the workplace confirming that work is carried out on Saturdays, undertake internships for a maximum of 6 days per week. They cannot undertake internships on Sundays.

 

Steps to Follow in the Internship Application Process:

  1. The student must first carefully review the Department of Civil Engineering Internship Directive.
  2. The student must identify a suitable internship placement for the planned internship category (Office-Construction Site, Structural, Transportation/Hydraulics) that meets the conditions specified in the Department of Civil Engineering Internship Program.
  3. The Internship Placement Student Acceptance Form must be completed in full by the workplace where the internship will be undertaken and approved by an authorized representative.
  4. The student must provide documentation showing that they have completed at least 16 hours of Occupational Health and Safety (OHS) training.
  5. The student must obtain a Health Provision Activation System (SPAS) Eligibility Certificate via the e-Government Portal or the Social Security Institution (SGK).
  6. International students must obtain the required document through the Work Permit Exemption Application System for Foreigners on the e-Government Portal (e-Exemption).
  7. The student must complete the Compulsory Internship Insurance Request Form electronically and in full.
  8. The student must submit the following documents to the Department Internship Committee within the announced application dates:
    • Internship Placement Student Acceptance Form
    • Occupational Health and Safety Certificate
    • SPAS Eligibility Certificate
    • Compulsory Internship Insurance Request Form
    • e-Exemption Document, additionally required for international students
  9. If the internship placement is deemed suitable and approved by the Department Internship Committee, the student may proceed to the “Procedures for Students Whose Internship Applications Have Been Approved” stage.

Procedures for Students Whose Internship Applications Have Been Approved:

  1. A student whose internship application has been approved by the Department Internship Committee must obtain the Internship Logbook and Internship Evaluation Form.
  2. The relevant sections of the Internship Logbook and Internship Evaluation Form must be completed in full. After the student photograph is attached, these documents must be approved by the Department and the Student Affairs Office.
  3. When the student begins the internship, they must submit a printout of the SGK Insured Intern Employment Registration Form, the Internship Evaluation Form, and the Internship Placement Acceptance Document to the workplace where the internship will be carried out.

 

Points to Consider During the Internship:

  1. Students cannot undertake an internship without insurance coverage. Before starting the internship, the student must obtain a printout of the SGK Insured Intern Employment Registration Form issued by Kütahya Dumlupınar University.
  2. During the internship, students are required to comply with the institution's working hours, workplace discipline, and occupational safety rules.

 

Guidelines for Preparing the Internship Logbook:

  1. Preliminary Preparations:

    • Students whose internship placements have been approved must complete the following steps after their insurance procedures are finalized and before starting the internship:
      • A student photograph must be attached to the Internship Evaluation Form and the Internship Logbook.
      • The documents must be stamped by the Faculty Student Affairs Office.
      • They must then be approved by the Department Internship Committee.
  2. Rules to Follow When Preparing the Internship Logbook:

    • The Internship Logbook must be prepared carefully, neatly, and clearly.
    • The logbook must be written by hand using a ballpoint pen, legibly and in accordance with writing rules.
    • The language should be objective; passive expressions such as “was carried out” and “was examined” should be used, and first-person singular narration should be avoided.
    • At the beginning of the logbook, information about the institution/organization where the internship is carried out should be provided. This should briefly cover:
      • The institution's fields of activity,
      • Its organizational structure,
      • The work carried out.
    • During the internship:
      • At least one page per day should normally be allocated.
      • The dates and working days of each week must be indicated in full.
    • Daily entries should not consist solely of task headings; detailed descriptions of the work performed must be provided.
    • The work carried out should be supported by visual materials such as photographs, plans, drawings, graphs, tables, or maps. However, unnecessary or excessive use of visuals should be avoided.
    • In daily entries:
      • The work performed should first be described,
      • Then general technical information about the relevant work or system should be provided.
    • Any sources used in preparing the logbook must be listed in the references section.
    • More than one page may be used for a single day when necessary. If the pages in the logbook are insufficient, additional copies of the pages may be used.
    • The following documents may be included as appendices to the Internship Logbook, provided that they are referenced in the text:
      • Cost estimate summary sheet
      • Progress payment reports
      • Provisional and final acceptance reports
      • Test results (site laboratory, etc.)
      • Structural and/or architectural projects
      • Quantity takeoff sheets
      • Survey drawings and attachments
    • Each page of the Internship Logbook must be approved by the authorized civil engineer at the workplace with name, stamp, and signature.
    • All institutional/workplace approvals must be complete (signature, stamp, and official seal).
    • The Internship Evaluation Form must be completed by authorized personnel at the workplace and submitted in a sealed envelope to the Department Internship Committee at the end of the internship.
  3. Points to Consider When Completing the Internship Logbook:

    • The logbook must be written clearly and comprehensibly in Turkish and in accordance with Turkish grammar rules.
    • The main purpose of the internship is to relate the theoretical knowledge acquired at the university to practical applications. Therefore, a connection should be established between the work performed and the relevant theoretical knowledge.
    • If the same task continues over several days, its stages may be described sequentially as a coherent whole.
    • If more than one task is performed in a single day, these activities may be distributed across the relevant daily entries and described in detail.
    • On days when no actual work is carried out:
      • Continuation of previous work,
      • Theoretical information related to the topic,
    • Explanations of the equipment and methods used may be provided.
    • The internship period includes only working days. Official holidays cannot be included in the internship period and must not appear in the logbook.

 

How to Prepare the Internship Logbook

 

After the Internship:

  • After the internship is completed, the relevant sections of the Internship Evaluation Form must be completed by the workplace (by the responsible CIVIL ENGINEER), the student must be graded, and the document must be approved with a stamp/official seal.
  • The approved Internship Evaluation Form must be delivered to the Department Internship Committee in a sealed envelope no later than two weeks after the beginning of the academic semester.
  • Students who are eligible for graduation or who undertake an internship during the semester should refer to the section “Internship Interviews for Students Eligible for Graduation or Undertaking an Internship During the Semester” for details on internship submission and evaluation procedures.
  • After submitting the Internship Logbook, the student will attend an internship interview on the dates announced by the Department Internship Committee. Students are required to attend the interview according to the announced schedule.

 

How to Complete the Internship Evaluation Form

 

General Explanations:

Occupational Health and Safety Certificate:

In order to undertake an internship, students of the Department of Civil Engineering are required, pursuant to Occupational Health and Safety Law No. 6331, to complete at least 16 hours of Occupational Health and Safety training provided for "workplaces classified as very hazardous". Students who cannot document that they have completed this training cannot apply for an internship. The certificates obtained by students are valid for 1 (one) year from the completion date of the training.

Health Provision Activation System (SPAS) Eligibility Certificate:

The SPAS Eligibility Certificate can be obtained by logging into the Health Provision Activation System through the e-Government Portal with an e-Government password, or by applying to the Social Security Institution (SGK) using the Turkish Republic Identification Number. Students who do not submit a SPAS Eligibility Certificate cannot apply for an internship. Students who have an occupational accident during their internship are required to notify our department on the same day and provide a report documenting the incident.

Internship Interviews for Students Eligible for Graduation or Undertaking an Internship During the Semester:

Students who are eligible for graduation or who undertake an internship during the semester must submit their internship documents to the Department Chair within two weeks after the end of the internship. Internship interviews for these students will be held every Monday at 13:30. No internship interviews will be conducted outside the specified day and time. If the internship documents are not submitted within the specified period, the internship will be considered not completed.

Procedures for Students Who Will Receive Payment from Their Internship Workplace:

The Student and Employer Information Form for Unemployment Fund Contribution to Internship Wages must be signed by both the student and the company. The signed form must be attached by the student to the Internship Insurance Request Form and submitted to the Department Chair. In addition, the student must submit a bank receipt showing that the internship wage has been paid at the end of the internship.
